Sites typically send invoices via email or snail mail (or both) to your AP department. Invoices often get lost in the shuffle or take a long time to get into the AP system. Invoices get handed around to be reviewed and approved by many approvers, eating up precious time. Sometimes they send them directly to your employees, confusing the process.
The AP team need to manually rekey in data - a laborious, time-consuming process. The invoices may also need to be manually compared to existing purchase orders (POs). With manual processes still being the norm and departments not co-operating it's virtually impossible to avoid making mistakes and causing delays in payments.
We will use Self-billing or automated Invoice Request procedures to create an efficient workflow:
Self-billing is a contractual arrangement between IF-RS and a site. IF-RS prepares the site's invoice and forwards a copy to the site with the payment. The entire process is digitalised.
Payment Requests is an alternative arrangement between IF-RS and a site. IF-RS prepares a payment request statement and forwards a copy to the site who will prepare his invoice accordingly. The site's invoice is then automatically matched.
Our digital invoicing process is validated by the Dutch Tax and Customs Administration.
